Municipal Services <br /> DATE: 1/26/2024 <br /> MEMO: 2024-26 <br /> TO: Honorable Mayor Julie Moore Wolfe and City Council Members <br /> FROM: Scott Wrighton,City Manager <br /> Matt Newell,Public Works Director <br /> Byron Bowman,Municipal Services Manager <br /> Chris Bergschneider,Fleet Supervisor <br /> SUBJECT: Resolution Authorizing Acceptance of a Sourcewell Contract for the Purchase of One(1)Chipper from <br /> Vermeer Sales&Service. <br /> SUMMARY RECOMMENDATION: Staff recommends awarding a Sourcewell contract in the amount of$98,713.00 to <br /> Vermeer Sales&Service to furnish one(1)BC 1800XL Brush Chipper. <br /> BACKGROUND: <br /> The Public Works,Forestry Division has requested a new Brush Chipper to replace an existing Brush Chopper used for tree <br /> removal and trimming operations. <br /> The unit being traded in is unit 422,a 2012 Vermeer Brush Chipper. It is selected to trade-in due to its age and condition.Unit 422 <br /> has 2,140 hours. <br /> The replacement vehicle is estimated to be delivered in 60-90 days. <br /> This item was judged to be routine and a consent item because the expenditure was included in the city budget,the vendor meets <br /> all city requirements,and the contract price is in line with the budget. <br /> PRIOR COUNCIL ACTION: <br /> None. <br /> DISPOSAL OF REPLACED UNIT: The old unit is to be traded in as part of the purchase. <br /> POTENTIAL OBJECTIONS: There are no known objections. <br /> INPUT FROM OTHER SOURCES: Fleet Maintenance wrote the bid specifications based on Forestry requirements. <br /> STAFF REFERENCE: Matt Newell,Public Works Director,Chris Bergschneider,Fleet Supervisor.Matt Newell will be in <br /> attendance at the City Council meeting to answer any questions of the Council on this item. <br /> BUDGET/TIME IMPLICATIONS: <br /> Funding for the expenditure is provided in the FY2024 Budget. <br /> LEGAL REVIEW: There are no contracts for Legal to review. <br /> ATTACHMENTS: <br /> Description Type <br /> Vermeer Chipper Resolution Resolution Letter <br />
