Public Works Memorandum No. 2013—51 DATE: August 28, 2013 TO: Honorable Mayor McElroy and City Council Members FROM: Ryan P. McCrady, City Manager Richard G. Marley, Public Works Director Deborah M. Perry, Purchasing Supervisor SUBJECT: Resolution Accepting the Bid of Bob Ridings, Taylorville, Illinois for the Purchase of One(1), 2014 Ford F-250, Heavy Duty % Ton;Pick Up Truck SUMMARY RECOMMENDATION: Staff recommends awarding a contract to Bob Ridings Inc, Taylorville, IL. to furnish one (1) 2014 Ford F-250 Heavy Duty 3/ Ton Pick Up Truck for a total cost of$25,150.00. BACKGROUND: This unit of equipment will be used by the Water Services Division and is scheduled for replacement this year. It will replace a 2006 Ford F-250 pickup truck currently in service with 134,723 miles. The current unit will be recycled to Forestry Division when the new unit is put into service. The truck is used by Water Service Division personnel and is equipped with the tools and service parts necessary for responding to water main breaks, valve and hydrant maintenance, and water service repairs. OTHER BIDDERS: Jackson Ford, Decatur, IL and Bob Brady Auto Mall, Decatur, IL were the only bids received of twelve(12)that were sent out. POTENTIAL OBJECTION: None DISPOSAL OF REPLACED UNIT: The old unit will then be recycled to Forestry Division of Public Works to replace a 2001 Dodge Ram 4 pickup truck, when the new unit is put into service. At this time the 2001 Dodge Ram 4 pickup truck will be sold. ESTIMATED DELIVERY DATE: 90 to 120 days after receipt of order. POTENTIAL OBJECTIONS: There are no known objections to this request. INPUT FROM OTHER SOURCES: Water Services requested the replacement of this vehicle. Fleet Maintenance wrote the bid specifications which were reviewed and approved by the Water Services Division prior to bid. Page I 1
