Public Works Memorandum <br /> No. 2013—04 <br /> DATE: January, 8, 2013 <br /> TO: Honorable Mayor McElroy and City Council Members <br /> FROM: Ryan P. McCrady, City Manager <br /> Richard G. Marley, Public Works Director <br /> Deborah M. Perry, Purchasing Supervisor <br /> SUBJECT: Resolution Accepting the Bid of Jackson Ford, Decatur, IL, for the Purchase <br /> of One (1) Ford Explorer 2013, Full Size Utility Vehicle <br /> SUMMARY RECOMMENDATION: Staff recommends awarding a contract in the amount of <br /> $26,911.00 to Jackson Ford, Decatur, IL, to furnish one (1) Ford Explorer 2013, full size utility <br /> vehicle (SUV). Bob Ridings, Taylorville, IL, submitted the low bid but did not meet bid <br /> specifications for Headlights Wig Wag. <br /> BACKGROUND: The Police Department is replacing an existing Police SUV, Command Unit <br /> #881, a 2007 Chevrolet Tahoe, due to its age and mileage/hours. The normal life expectancy is <br /> five years. This SUV is five years old and has 137,605 miles. The replacement vehicle is <br /> estimated to be delivered in 90 days or less. All of the Police lights, radios, etc. will be removed <br /> and re-installed in the new SUV by Fleet Maintenance mechanics. <br /> Chief Walker has requested that the new SUV be a 4WD or AWD vehicle so that department <br /> personnel can respond to calls for service off road. The estimated price of the upgrade is <br /> $1,000.00(Ford) and $3,000.00(Chevy). <br /> The old unit will be auctioned at a later date. <br /> OTHER BIDDERS: Bids were also received from Miles Chevrolet, Decatur, IL and Bob <br /> Ridings, Taylorville, IL. <br /> DISPOSAL OF REPLACED UNIT: The old unit will then be sold utilizing an auction service <br /> that specializes in disposing of used government equipment. <br /> POTENTIAL OBJECTIONS: There are no known objections to this request. <br /> INPUT FROM OTHER SOURCES: Police Department requested the vehicle. Fleet <br /> Maintenance wrote the bid specifications. <br /> STAFF REFERENCE: Richard G. Marley, Public Works Director, Rennie A. Young, Fleet <br /> Supervisor. Todd A. Walker, Chief of Police. Richard G. Marley will be in attendance at the <br /> City Council meeting to answer any questions of the Council on this item. <br /> Page I 1 <br />
