Mass Transit Memorandum <br /> No. 012111-1 <br /> January 21, 2011 <br /> TO: Honorable Mayor McElroy and City Council Members <br /> FROM: Ryan P. McCrady, City Manager <br /> Paul McChancy, Mass Transit Administrator <br /> SUBJECT: Purchase Order for Transit Van Camera Systems <br /> SUMMARY Staff recommends that Council adopt a Resolution awarding a <br /> RECOMMENDATION: purchase order to Seon Design, Inc. for the purchase and installation <br /> of two (2) camera systems, with one (1) spare removable hard disc <br /> unit, in the Transit System's ADA vans. <br /> BACKGROUND: The Transit System now owns six (6) ADA vans that are used to <br /> transport people with disabilities who are unable to use the bus system. <br /> An additional van is on order and will be delivered soon. In December <br /> Seon Design completed the installation of camera systems in four(4) <br /> of the vans. Staff now wishes to install security cameras in two (2) <br /> more vans. Staff has found that the cameras on the buses and vans are <br /> very valuable for investigating accidents, incidents, slips and falls, etc. <br /> In October City Council accepted the bid of Seon Design and awarded <br /> a Purchase Order for four(4) camera systems and two (2) spare <br /> removable hard disc units at a total price of$12,146. Seon Design's <br /> bid included"the option to purchase within five (5) years up to six (6) <br /> additional digital video camera systems, up to three (3) additional <br /> spare removable hard disc units..." at the original price. Staff <br /> proposes to exercise this option and to purchase two (2) camera <br /> systems with one(1) spare removable hard disc unit at a total price of <br /> $6,073.00. <br /> POTENTIAL No objections are expected. <br /> OBJECTION: <br /> INPUT FROM Richard Foiles, General Manager <br /> OTHER SOURCES: Decatur Public Transit System <br /> STAFF REFERENCE: Paul McChancy, Mass Transit Administrator <br /> BUDGET/TIME An existing Federal grant has an unobligated balance of$4,691 which <br /> IMPLICATIONS: will pay for 77.2% of this purchase. City funds will be used to fund <br /> the remainder of the project cost: $1,382 (22.8%). <br />
