COUNCIL COMMUNICATION FORM
PURCHASING & INTERNAL SERVICES MEMOR.ANDUM
#10-65
November 23, 2010
TO: Honorable Mayor McElroy and City Council
FROM: Ryan P. McCrady, City Manager
Ron Neufeld, Financial Management Direc r
Deborah M. Perry, Purchasing Supervisor
SUBJECT: HVAC Replacement
SUMMARY RECOMMENDATION: Staff recommends awarding contract to Air King to
furnish and install four(4) HVAC units consisting of the following:
(2) Trane YSC072E3EHA0015 —6 ton units
(1) Trane YSC048E3EHA0015 —4 ton unit
(1) Trane YSC120E3EHA0015 — 10 ton unit
BACKGROUND: The HVAC units will be used by the Fire Department for Fire Station #1.
The replacement units are required because small holes were found in the existing heat
exchangers. This can be dangerous since carbon monoxide can escape. The existing units were
shut down and cannot be used. This leaves Fire Station #1 without heat in over half of the
building.
Bidders were asked to submit a price to replace all four units at one time. This will allow a crane
to be on site one time to install the units, which is less costly than replacing the four units
individually. The units being replaced are all over 16 years old.
POTENTIAL OBJECTION: None
INPUT FROM OTHER SOURCES: The Fire Department requested the replacements and
recommends approval of the bid.
STAFF REFERENCE: Matt Sekosky, Fire Chief, 424-2811. Jeff Abbott, Deputy Fire Chief,
424-2811. Matt will be at the council meeting to answer any questions the council may have
about this purchase.
BUDGET: $25,496.00 from the General Fund.
