Mass Transit Memorandum
No. 072210-2
July 22, 2010
TO: Honorable Mayor McElroy and City Council Members
FROM: Ryan P. McCrady, City Manager
Paul McChancy, Mass Transit Administrator
SUBJECT: Purchase Order for a Transit Engine Replacement
SUMMARY Staff recommends that Council adopt a Resolution awarding a
RECOMMENDATION: Purchase Order for replacing the engine in Trolley#1922 to
Mack Sales & Service of Decatur, Inc.
BACKGROUND: Transit's Maintenance Deparhnent has determined that the engine in
Trolley#1922 must be replaced. Due to the size and age of this
engine, it is usually more economical to replace this type engine than
it is to overhaul the engine. The Maintenance Department is not
qualified to do the work, and the City's Municipal Services Center
(MSC) is not equipped for this particular job. Staff requested bids for
replacing the engine and received four quotes from three firms
(attached). The lowest bid was submitted by Mack Sales & Service of
Decatur for replacing the engine with an identical Cummins engine.
Transit's Maintenance Superintendent, Mark Gordon, recommends
accepting Mack Sales' bid. Staff is confident that the firm is qualified
and capable of doing this work. Staff recommends that a Purchase
Order be awarded to Mack Sales & Service of Decatur in the not-to-
exceed amount of$13,650.00.
POTENTIAL No objections are expected.
OBJECTION:
INPUT FROM Mark Gordon, Maintenance Superintendent
OTHER SOURCES: Decatur Public Transit System
STAFF REFERENCE: Paul McChancy, Mass Transit Administrator
BUDGET/TIME The cost of the work is a normal operating expense that is part of the
IMPLICATIONS: current budget. No additional staff time is required.
