MANAGEMENT SERVICES DEPARTMENT
Management Information Services Division
MEMORANDUM NO. 2010-25
July 19, 2010
MEMO TO: Honorable Mayor and City Council Members
FROM: Ryan P. McCrady, City Manager
Gerard J. Bauer, Assistant City Manager for Administration
Randy Aldrich, Manager, MIS Division
SUBJECT: Purchase of Laserfiche Annual Maintenance Agreement
SUMMARY Staff recommends that City Council approve the attached
RECOMMENDATION: resolution, authorizing renewal of the Laserfiche Annual
Maintenance Agreement with TKB Associates, Inc. for the
City's electronic document and image management system
(EDIMS).
BACKGROUND: The City purchased EDIMS software last year, and has been
developing the application and adding Division support all
year. Currently the application is being used in the Public
Works, Legal, Executive, Police and Finance Departments.
This will allow the City to update to the most currently available
version of the software for the duration of the Agreement. It
will also give the City access to TKB and Laserfiche support
resources and personnel for problem resolution. This gives a
measure of protection for the City of Decatur's investment in
EDIMS software, applications and training.
POTENTIAL OBJECTORS: None anticipated.
INPUT FROM OTHER None.
SOURCES:
STAFF REFERENCE: Marshall Sperry, Senior Systems Analyst (450-2236); Randy
Aldrich, MIS Manager (450-2239); Gerard J. Bauer, Assistant
City Manager (424-2801).
BUDGET/TIME The $13,636.00 will be paid from the MIS Fund, reimbursed on
IMPLICATIONS: a pro rata basis from other funds, and is within existing
appropriation authorization.
2 Attachments
