McCrady, City Manager
Richard G. Marley, P.E., Director of Public Works C-

SUBJECT: Expenditures for Overhead Door Repairs
SUMMARY RECOMMENDATION:
It is recommended by staffthat the City Council approve the attached resolution approving an
expenditure of$15,490.32 to Midstate Overhead Door, Inc. for the repair of overhead doors at
the Municipal Services Center.
PRIOR COUNCIL ACTION:
No prior Council action had been taken for the repair of these doors.
BACKGROUND:
There are 361arge overhead doors at the Municipal Services Center. Most of the overhead doors
at this facility have not had a complete overhaul since the building was opened in 1988. As the
result of concerns for safety and winter heat retention due to deteriorating door seals, a local
overhead door repair company which the City was using to do emergency overhead door repairs
was contacted to provide estimates to have the overhead doors brought back to full functionality.
The total cost of repairs exceeded $26,800. The Public Works Department budget had sufficient
funds to contract for all the repairs, however due to spending reduction goals a decision was
made to only proceed with a few of the more urgent repairs. Repairs were made to four doors in
February for$2,426.80 and ten doors were repaired in March for$4,557.22, for a total
expenditure of$6,984.02. The plan was to make more repairs in the future when improved
funding permitted.
Due to a management communication error, Midstate Overhead Door, Inc. was given the go-
ahead to continue repairing the remaining doors. When the error was discovered, additional
repairs totaling $15,490.32 had been completed. All repair work on the doors has been
completed and the contractor is entitled to payment. As is required by law, prevailing wages
were paid for this work.
POTENTIAL OBJECTIONS: There are no known objections to this request.
INPUT FROM OTHER SOURCES: None
STAFF REFERENCE: Richard G. Marley, Director of Public Works. Richard Marley will be
in attendance at the City Council meeting to answer any questions of the Council on this item.
Page 1
