5. ShopFax is not oriented to municipal fleet management. It is more oriented towards
freight trucking firm use.
As a result of these problems, fleet management staff has researched alternative software.
Process
During the past nine months, research has been done to determine which software programs are
available and to identify those that will best meet the current and future demands of the City of
Decatur's fleet operation. Sources for this research have included a web based questionnaire
posted on the American Public Works Association Operations website, conversations with
vendors at national trade shows, presentations by software vendors and visits to other cities to
view and discuss their fleet operations. Four different software systems were evaluated.
Important considerations included purchase cost, annual ownership costs, and costs for added
equipment that may be needed, value, track record, user support, ease and functionality of
operation, the ability to convert existing data and anticipated future needs. City fleet managers
were interested in finding software that is in common use by other municipalities. The fleet
management software, Faster, by CCG Systems met those considerations.
COST SUMMARYBUDGET IMPACT
Software, Installation and Support $ 78,365
Hardware 23,800
TOTAL $102,165
Budget Impact
The FY 2009-10 Fleet Operations budget includes $90,000 for software, and $23,800 for
hardware in the small capital line item,
The annual user fee is estimated to cost $7,008, which will include all future updates to the
software.
