COUNCIL COMMUNICATION FORM
PURCHASING& INTERNAL SERVICES MEMOR.ANDUM
#08-75
October 24, 2008
TO: Honorable Mayor Carrigan and City Council
FROM: Ryan P. McCrady, City Manager
Ron Neufeld, Financial Management Director
Deborah M. Perry, Purchasing Supervisor
SUBJECT: Bids for Dump Trucks
SUMMARY RECOMMENDATION: Staff recommends awarding contract to Prairie '
International to furnish three (3) 2009 single axle 7400 4x2 International dump truck chassis with
body, plow, and spreader. ,
BACKGROUND: Bidders were asked to submit both a conventional bid for an outright
purchase of the dump trucks and also a bid which included the trade in cost of the old dump
trucks. Staff evaluated the bids and determined the bid for trading in the trucks is the lowest and
best responsive and responsible bid for the City.
These trucks will be used by the Street & Sewer Division. The trucks will replace 1999
International trucks with 60,821; 61,136; and 65,033 miles that are currently in service. The old
trucks will be traded in to the low bidder when the new units are delivered.
POTENTIAL OBJECTION: None
INPUT FROM OTHER SOURCES: Street Division requested the trucks. Fleet Maintenance
wrote the bid specifications. Both recommend approval of bid.
STAFF REFERENCE: Richard Marley, Engineering & Infrastructure Director, 424-2747.
Richard Borders, MSC Manager, 875-4820. Richard Marley will be at the council meeting to
answer questions the council may have about this purchase.
BUDGET: $299,562.99 from the Equipment Replacement Fund.
