a y
,
COUNCIL COMMUNICATION FORM
PURCHASING & INTERNAL SERVICES MEMORANDUM
#08-60
' October 15, 2008
TO: Honorable Mayor Carrigan and City Council ,
FROM: Ryan P. McCrady, Interim City Manager
Ron Neufeld, Financial Management Director +
Deborah M. Perry, Purchasing Supervisor
SUBJECT: Bids for mid-size vehicle
SUMMARY RECOMMENDATION: Staff recommends awarding contract to Smoky
Jennings Chevrolet to furnish one (1) 2009 Chevrolet Impala mid size vehicle.
BACKGROUND: This vehicle will be assigned to the Engineering Division. It was scheduled
to be replaced in fiscal year 2005. It was held over due to low miles and will replace a 1997
Ford Taurus with 71,786 miles that is currently in service. A total cost analysis was performed
on the bids received, and Smoky Jennings was the most responsive and responsible bidder. This
was due to Chevrolet having a higher resale value resulting in a lower life cycle cost. The old
vehicle will be sold at auction.
POTENTIAL OBJECTION: None
INPUT FROM OTHER SOURCES: Engineering requested the vehicle. Fleet Maintenance
wrote the specifications. Both recommend approval of bid.
STAFF REFERENCE: Richard Marley, Director of Engineering and Infrastructure, 424-2747.
Richard Borders, MSC Manager, 875-4820. Richard Marley will be at the council meeting to
answer questions the council may have about this purchase.
BUDGET: $20,620.68 from the Equipment Replacement fund.
