Johnston, Manager, MIS Division��� I <br /> SUBJECT: Software Acquisition -- MUNIS Management Portal �' <br /> SUMMARY RECOMMENDATION: Staff recommends that City Council approve the attached <br /> resolution, authorizing the City Manager to execute an agreement with MUNIS to license and <br /> implement a semi-custom software enhancement to improve the distribution of critical <br /> management information already available within the MUNIS Enterprise Resource <br /> Planning/Management (ERP) System. <br /> BACKGROUND: In March 2003, when the city selected a vendor to provide its new suite of <br /> ERP software, one of the principle strengths leading to the selection of the MUNIS <br /> Incorporated system was an emerging capability to distill critical management information from <br /> the huge amount of routine information which comes into the system daily, and to distribute <br /> that information in usable, summary, and when appropriate, preemptive, fashion, in � <br /> accordance with locally-defined and customized business n.iles. The city recognized that this ; <br /> capability was then only on the drawing boards, and negotiated, as part of the overall system , <br /> licensing agreement, a participatory position in the development of this particular functionality, I <br /> which has come to be known as the MUNIS Management Portal. In retum for allowing city ' <br /> senior management personnel to provide input to MUNIS developers on their requirements for !, <br /> the distilled information critical for the smooth running of municipal operations, the city would I <br /> receive the new software module free of initial licensing charges, and would be allowed to use ' <br /> the module on an ongoing basis for only the annual software maintenance/service charge. �I <br /> The attached agreement formalizes the implementation of that software module, as an �I <br /> addition to those other MUNIS modules currently in use by the city. <br /> POTENTIAL OBJECTORS: None anticipated. It will be paid from the MIS Fund, li, <br /> reimbursed on a pro rata basis from other funds, and is within existing appropriation <br /> authorizations. <br /> 2 Attachments <br />
