Brag , Economic Develo ent oordinator� <br /> i <br /> SUBJECT: Capital Equip ent Replacement-Printers <br /> SUMMARY RECOMMENDATION: Staff recommends approval of the proposed <br /> replacement of the HP 750 Plotter with the HP Designjet 1055 CM Plus and acquisition of the <br /> Xerox Phaser 7700 color printer. The City is able to leverage 80 percent of the required capital <br /> cost, or $11,863, through the use of DUATS administrative funds from the state of Illinois. The <br /> City's local contribution totals $2,966. <br /> BACKGROUND: The City wishes to replace its outdated large format plotter with a newer <br /> model. The current plotter is functionally obsolete and will require major repairs in the near <br /> future. The repairs needed will likely cost more than the original purchase price of the plotter. A <br /> $1,500 rebate is available to trade in the existing plotter. This rebate has been factored in the <br /> price presented below. <br /> During the past two years, the City has engaged in considerably more color printing from the <br /> economic development and planning units for such programs as the Urban Corridors Plan, the <br /> Long Range Transportation Plan, the Decadecatur Quality of Life Initiatives and various <br /> marketing / economic development projects. Because of this, expenditures on color copies have <br /> increased significantly. Through the acquisition of a color printer, printing costs can be reduced <br /> by up to 80 percent based on cost-per-page production rates for the proposed printer. A $1,000 <br /> rebate is also available on the Xerox Phaser 7700. This rebate has been factored in the price <br /> presented below. <br /> Furthermore, the City can leverage DUATS administrative funds that would not be used for <br /> another purpose to cover the majority of the costs associated with the capital equipment <br /> expenditures.
