CITY OF DECATUR PROPOSAL TO PROVIDE CONSULTING SERVICES <br /> � � <br /> � � � � � � � � � <br /> � � • • • � � i � <br /> Phase Six: Vendar Pre-Qualification {revised) <br /> 1. Prepare a vendor pre-qualification questionnaire form that focuses on the technical <br /> requirements of the solution chosen in Phase Five, and the application requirements <br /> at the module level. The questionnaire is used to identify vendors that may be <br /> qualified to meet the information system requirements of the City as recommended <br /> in the City-Wide IMP. <br /> 2. Review the questionnaire with the City Steering Committee and prepare a <br /> distribution list of government sector software vendors based on those familiar to the <br /> City and on previous Group 1 experience. We anticipate that the distribution list will <br /> include from seven (7)to a maximum of ten (10) vendors. Vendors under <br /> consideration include: <br /> • Bi-Tech ■ HTE <br /> ■ Eden Systems ■ MUNIS <br /> ■ Incode ■ New World Systems <br /> ■ Information Development ■ Pentamation <br /> Consultants <br /> 3. (City Task) Distribute the pre-qualifying questionnaire to selected vendors on <br /> approved list developed in Task 2. <br /> 4. Analyze and prepare a report of the results of completed questionnaires and the� <br /> recommended semi-finalist vendors. Compare estimated costs, available application <br /> software packages, and references among respondents. This review provides a <br /> basis for evaluating software alternatives and eliminating vendors. Vendors not <br /> recommended as semi-finalists might be eliminated due to excessive cost, - <br /> insufficient breadth of product offering, or lack of relevant experience as evidenced <br /> by the references provided. <br /> 5. .Meet with the City Steering Committee to jointly develop a list of vendors to be <br /> invited to participate in product demonstrations. We anticipate that a maximum of <br /> three (3) vendors will be invited to present demonstrations, each vendor scheduled <br /> for three (3) days. <br /> 6. (City Task) Perform reference checks of vendors selected for demonstrations, using <br /> forms provided by Group 1. <br /> 7. Prepare invitations for demonstrations to chosen vendors. To assist in comparing <br /> vendor offerings, include a list of minimum features to be demonstrated. <br /> 8. (City Task) Distribute invitations.
