Ratekin, Assistant City Engineer �/�'�Z SUBJECT: Professional Services Contract Aperture Card Scanning Attached for your review and approval is a contract from ImageMax, Inc. This contract is for professional services to digitally scan the Engineering Division's 12,500 aperture cards and to provide City with the information in a digital format. ImageMax was selected by the Engineering Division from six firms that originally expressed interest in the project. The Engineering Division solicited requests for proposals from potential vendors for this project. The contract is for a cost not to exceed $15,000. Funding for this work is available in the current City Budget. The Engineering Division currently has approximately 12,500 aperture cards. The aperture cards are actually microfilmed images of historical records. The records range from City and State projects to subdivision and site plans. Until recently, the Engineering Division had a piece of equipment to view and print the images when required. The printing portion of the card viewer has stopped working. Due to the age of the device, repair is not a possible option because replacement parts are not available. The scanning of the aperture cards would allow the Division expanded access to the images and allow us to be able to print an image when necessary. The scanned images would be made available to all City staff that have access to the City's computer network. This would also provide an important service to the general public, contractors and consultants seeking information regarding existing City facilities and recorded subdivisions.
