� � Management Information Services Division <br /> , , .�rIemo No. 99-14 <br /> Page 3 <br /> We have advanced to the point that, with the eYception of preparation of final documentation, we are <br /> ready to finish the Validation phase and move into implementation. <br /> The resolution attached as Enclosure 2 authorizes the City Manager to enter into an agreement with <br /> the Olive accounting firm for services to assist us in completing the project. Olive's role will be: 1) <br />' to bring a fresh perspective and unique eYperience (including Y2K remediation assistance to other <br /> entities and a�encies) to our team effort; 2) to provide additional manpower in the face of key <br />, personnel shortages on the city staff, and 3) to provide a degree of independent validation and <br /> verification that the city's effort at Y2K remediation have no significant omissions or enors. We <br /> view this as a prudent investment to ensure that our efforts demonstrate all due diligence which this <br /> unique situation requires. We selected Olive due to our eYcellent working relationship with them <br /> over a number of years, their long-standing familiarity with our automated accounting and financial <br /> systems, and their ability to bring immediate Y2K experience and expertise to bear on the problem <br /> from within their local office. <br /> The estimated maximum cost of this effort is $14, 850, although we intend to make every effort to <br /> conclude the effort sooner, at lower cost. Funds are available to pay for the effort in the MIS <br /> Operating Fund (Fund 67) in the form of unspent Personal Services dollars, due to personnel <br /> vacancies in that division. <br /> Recommendation: That the City Council approve the attached resolution empowering the City <br /> Manager to enter into an agreement with Olive, LLP for consulting services. <br /> 2 Encl <br /> 1.
