r .
1 '
PURCHASING & INTERNAL SERVICES MEMORANDUM
#91 - 63
August 8 , 1991
TO: James C . Bacon, Jr. , City Manager
FROM: Deborah M. Perry, Purchasing Supervisor
SUBJECT: INSERTING & FOLDING MACHINE BIDS
Attached you will find a bid summary for an inserting machine and
a folding machine to be used by Data Services . This machinery
will be used for processing the newly designed water bills for
mailing.
Bid specifications were mailed to five companies for the
inserting machine and the folding machine. We received responses
from three companies .
The rising cost of service agreements to keep this machinery
functioning properly is as much a major expense as the cost of
the machines themselves . With this in mind, the bids submitted
were evaluated on a three ( 3 ) year life cycle to determine the
most responsive bidder. Firm prices were secured for service for
a three year period.
It is the staff recommendation to accept the low bid of Peak
Business Forms to furnish one ( 1 ) Inscerco Mfg. 4 inserting
machine and folding machine for $19 , 392 . 56 along with a firm cost
for service bringing the 3 year cost to $22 , 414 .82 .
cc: Beth Couter
