Pre-Bid Meeting Minutes Page 2 of 7 <br /> Clarifier Conversion Project November 3, 2021 <br /> • Sealed bids will be received at the time and place described in the Advertisement <br /> for Bids which is currently on December 3, 2021. No postponement is foreseen. <br /> It was indicated that after the bids have been opened and reviewed, the Project <br /> will be awarded ASAP, however, bids can be held open for up to 45 days (Bid <br /> Proposal, page 15). <br /> • All project addendums will be issued by the Engineer (CMT) via Decatur <br /> Blueprint to "Official Plan Holders of Record". Bidders who have obtained their <br /> plans and specifications from other Plan Rooms or General Contractors are <br /> encouraged to purchase an electronic set of bidding documents from Decatur <br /> Blueprint. <br /> • Bidders were reminded of several errors and/or mistakes that there is no remedy ' <br /> to correct once the bids are opened. Those errors and/or mistakes mentioned <br /> include but are not limited to; a) missing signatures on the Bid Form, b) incorrect <br /> bid bond amount, and c) not delivering the Bid to the City as described in the <br /> Advertisement for Bids. <br /> • The Contract Documents use the City's standard front-end documents. It was ' <br /> noted that all Bidders should take special note of the Information for Bidders, <br /> General Conditions and Special Conditions included in the Project Manual. <br /> • Bidders were reminded the cutoff for bidding questions is five (5) days prior to the <br /> date for opening of bids, or authorized postponement thereof, for answers to be <br /> included in an addendum. See second Paragraph on page 8 of the Information <br /> for Bidders. At this time that date would be November 29, 2021, by the end of <br /> the day (close of business, 5 p.m. CST). Questions are required to be in writing 1 <br /> via email to Amanda Withers, Project Manager at awithers@cmtengr.com (will be <br /> corrected in Addendum No. 1). <br /> • The Bidder's Bid Security shall be in the amount of ten percent (10%) of the <br /> amount bid. See Paragraph 2 on page 7 of the Information for Bidders. <br /> • If a copy of the 1985 geotechnical report is desired, Bidders can request an <br /> electronic copy from Amanda Withers at CMT at awithers@cmtengr.com. <br /> • The Bids will be evaluated, and the Contract awarded based on the Contract , <br /> Lump Sum Bid which includes an Allowance for $600,000.00 for project <br /> Alterations, Cancellations, Extensions, Deductions and Extra Work at the t <br /> Owner's discretion per Section 01210 - Allowances. There are no Alternate Bid <br /> Items nor Unit Prices in the current bidding documents. <br /> • Bidders are reminded to fill out and fully executed the entire Bid Proposal form <br /> including addendum acknowledgement on Project Manual, page 16 of the Bid <br /> Proposal. <br /> - Mk "T <br />
