1 Appendix A Pre-bid Meeting Minutes ' for GRAND & CONDIT STORMWATER PUMP STATION ELECTRICAL ' IMPROVEMENTS PROJECT CITY PROJECT 2025-15 ' Conference Call 11:00 a.m., Wednesday, February 11, 2026. I. Introductions Chad Larimore provided introductions. ' II. Project Review The project includes the removal and replacement of electrical, controls and HVAC equipment for the Condit and Grand stormwater pump station. The Condit station will reuse the existing electrical service, and Grand station will replace the electrical service. The contractor shall keep the stations in service while the work is completed. III. Project Specific Items Chad Larimore provided the following verbiage pertaining to the project. He stated that nothing stated during the meeting was part of the bid documents unless it was provided in written form to the Contractor either in the Bid Documents, or via addendum. ' 1. Bidders should check Decatur Blueprint's website before submitting a bid to make sure there are no addenda's missing. Only contractors on Decatur Blueprint's plan holder list will get updates on addenda's. You have to purchase the plans to get on their list. Simply downloading a set of plans from the website does not put you on the bidders list. 2. There is a base bid, with work at each station being a lump sum bid item. 3. Bids are due 10:00am February 25, 2026. ' 4. All questions must be submitted in writing. 5. Questions will not be answered after 5:00pm February 18, 2026. ' 6. Tentative council approval March 16, 2026. 7. Pre-Construction Mtg&Notice to Proceed—Late March. ' 8. Final Completion Date is March 19, 2027. 9. Liquidated Damages per the schedule within the specifications. ' 10. Contractor shall carefully review and understand the entire bid document package.
